HubSpot CRM integration

The conversation and the CRM stop being two separate jobs. Your assistant looks a person up in HubSpot while it is talking to them, creates the contact, company or deal when there isn't one, and wires the records together itself.

Connecting HubSpot

Open the assistant and choose HubSpot CRM

The integrations list is in the assistant's tools section. HubSpot sits alongside the other CRM and commerce integrations.

Click Connect and authorise

You are redirected to HubSpot's own authorisation page, you sign in and approve the permissions, and HubSpot sends you back. No app of your own, no keys.

Decide what it may read

Under Customer, switch on the searches you want: contacts, companies, deals. This is the half that makes the assistant recognise people, and it changes nothing in your CRM.

Decide what it may write

Under User, switch on creating and updating. Start with Create contact if you want a cautious first configuration — you can add companies, deals and linking once you have seen what it produces.

Run a conversation and then look at HubSpot

In the Playground, pretend to be a new customer with a problem. Then open HubSpot and check what appeared, how it was named, and what it was linked to. Adjust the switches before anyone real sees it.

How a CRM goes stale

Data entry is the last thing anyone does

The conversation happens, the person means to log it, something more urgent arrives. A week later nobody can remember which of the three Toms from Acme actually asked about the enterprise plan.

The assistant has no idea who it is talking to

A customer of four years and a stranger get the same greeting, because the chatbot cannot see that one of them has an open deal and a history of support tickets.

Duplicates breed quietly

Every integration that creates contacts without looking first leaves you with the same person three times over, under two spellings and two email addresses, spread across three deals.

Records exist but nothing is connected

A contact with no company. A deal attached to nobody. The data is technically there and the reporting built on it is quietly worthless.

Searching first, then writing — and only what you allow

HubSpot in Mingleego is a set of tools your assistant may reach for during a conversation, split into two groups that you switch on separately. The Customer group is the reading half: search contacts, search companies, search deals. Enabling a search also enables opening the full record and following its relationships, because they are only ever used together — finding a contact is not much use if you cannot see the company and the deals attached to it. An assistant with only these switched on knows exactly who it is talking to and cannot change a single field. The User group is the writing half: create a contact, a company or a deal, update a contact, and link the three kinds of record to each other. The creating tools search before they write — the assistant looks for the person by name, by email, by partial match and by a few variations of it, and only creates a new record when nothing matches. Updating a contact is the careful one: when the new information differs from what is on file, the assistant says what is different and asks before it applies anything, and it changes only the fields that actually changed. Connecting takes a few clicks and no developer work. Mingleego uses its own managed HubSpot app, so there is nothing to register and no API key to copy — you authorise access to your HubSpot account and that is the whole setup.

What changes day to day

The widget recognises a customer

Someone opens the chat on your site. The assistant finds them in HubSpot and answers in the context of the deal they already have open.

Leads land in the CRM as they arrive

Interest expressed at two in the morning is a contact, a company and a deal by the time anyone reads it — already linked, not a line in a chat log.

Every channel writes to one CRM

Telegram, WhatsApp, Instagram, Slack, Discord, the website widget. Same assistant, same HubSpot account, no per-channel exports.

Details get corrected at the source

A customer mentions a new number in passing. The assistant notices it differs, asks, and updates the contact — instead of the correction living only in the transcript.

CRM context plus your documents

With document search on, the same answer can draw on who the person is in HubSpot and on what your own files say about the thing they are asking about.

Book and record in one conversation

With Google Calendar connected too, the assistant can find the contact, take the booking and log the deal without anyone switching applications.

The ten tools, plainly

Search contacts, companies and deals

By name, email, domain or a fragment of any of them. Each search comes with opening the full record and seeing what it is linked to, so the assistant can tell that this contact belongs to that company and has this deal open.

Create a contact — after looking

The assistant searches by first name, last name and email, trying variations, and creates a new contact only when nothing matches. It also does not interrogate people: the name comes up early, the email when a follow-up is needed, the phone only if it is genuinely useful.

Create a company

For conversations with a business dimension. It searches by name, abbreviation, domain and partial match first, and reuses an existing organisation rather than adding a second one.

Create a deal

A deal, a support request, an onboarding case — whatever needs following up. The assistant decides when a conversation has become significant enough to track, and checks for a similar open case before adding another.

Update a contact, with confirmation

A changed phone number, a corrected surname, a new email. The assistant explains exactly what differs from the record and asks before applying it, then writes only the changed fields. It never silently overwrites.

Link the records together

Contact to company, deal to contact, deal to company. These run in the background off the context of the conversation — nobody is asked to manage CRM relationships by hand.

Before you connect a CRM

No. Mingleego uses its own managed HubSpot app — you authorise access to your account and you are done. Creating your own app is possible for teams that require it, and the integrations guide covers that path, but it is not the normal route.

Try it read-only for a week

Connect HubSpot with only the three searches switched on. An assistant that recognises your customers is worth having on its own — and it tells you a lot about whether you want it writing.
